The role of Apprentice Administrator provides an invaluable service to our team supporting aspects of the day to day running of the service to include speaking to study teams, collating and sending out committee papers and entering information on to the departmental research management database and raising purchase orders for the team.

Sponsor activities

  • Assist the team and researchers in the role of maintaining the Sponsor File
  • Assist the monitoring of research studies (visits and write ups) with a member of the team.
  • Support the archiving process with researchers.
  • Under the direction of the Research Facilitator, liaise with study teams for overdue reports and information relating to their research proposals.

Administration support

  • To deal with incoming and outgoing mail.
  • Report any breakdowns or maintenance problems to IT and Estates.
  • Under the direction of the Research Ethics and Systems Officer and the Research Sponsor and Indemnity Officer, support the collation and distribution of papers for the Research Ethics Committee and Research Integrity and Governance Committee.
  • Taking and relaying messages both verbal and by telephone, prioritizing as appropriate.
  • Support with room bookings with the team.
  • Carry out general administration duties, responding to enquiries over the telephone and departmental email in boxes.
  • To maintain and order supplies as required for service delivery. e.g. stationary.


  • Assist the team in maintaining information on the Research Management database.
  • Become familiar with the Safety Reporting system developed by the team where researchers record and adverse events occurring through a clinical trial.
  • Access and print the submissions on the ITS resource for the team.
  • Become familiar with the departmental research management database to be able to offer support to research teams when it is rolled out to research teams in LSTM.
  • The use of all Microsoft computer packages and other IT resources.


  • Maintain the Quality Management System to flag policies and Standard Operating Procedures that are coming due for renewal.
  • Become familiar with the departments SOP’s and share with researchers as requested or advised.


  • Share reports for the Research Integrity and Governance Committee.
  • Become familiar with the reporting tool in the departmental research management database.
  • Level 3 Business Admin Standard.
  • Monthly 1-1 visits with development coach.
